Privacy notice

How we look after your information

This notice explains what personal information we collect when you use this website or order from us, why we need it, how long we keep it and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).

Last updated: 31 October 2026

Who we are

Rama Naturals Ltd is the controller of your personal information. We are registered in England and Wales, company number 14882779.

  • Registered office: 18 Blackwell Crescent, Wakefield, England, WF1 4FZ
  • Contact for privacy questions: contact@ramanaturals.co.uk
  • Data protection officer: we are a small business and are not required to appoint one. Please use the contact email above.

What we collect and why

When you send a design enquiry

The “Tell us about your wedding” form asks for the couple’s first names, your email address and your wedding date. You can also choose to give us your phone number, the number of guests, the wedding location, your soap colour and a message. We store these details in our enquiry records so we can prepare your quote and reply to you. If you send more than one enquiry from the same email address, your latest enquiry replaces the earlier one in our records.

When you share a testimonial

The testimonial form asks for your name, your testimonial and your relationship to the couple. Your email address and a star rating are optional. Every testimonial is checked by us before it appears. If we approve it, your testimonial, your name as you entered it and your rating may be shown publicly on this website. We never publish your email address.

When you email us or place an order

If you email us, we keep your message, your email address and any other details you include so we can reply and keep a record of our conversation. Our business mailbox is provided by IONOS.

To help us reply quickly, new emails may be read by an AI model that runs on our own server. It produces a short internal summary and a suggested next step for our team, which we keep with our email records. Your email is not sent to an outside AI company, and the summary is only used to help us respond. It does not make decisions about you.

If you go ahead with an order, we also use the details needed to make, deliver and invoice it, such as your delivery address and payment records.

Keeping the forms safe

To stop spam and abuse, our server briefly records your IP address when a form is sent and may log it if a form looks automated or is sent too many times. Our forms also use Cloudflare Turnstile, a check that you are a real person. To do this, Cloudflare processes technical information such as your IP address and details about your browser, and our server sends your IP address to Cloudflare to confirm the result.

Visiting the website

We use Plausible Analytics to count visits, pages viewed and the number of form submissions. Plausible does not use cookies and does not record the details you type into our forms. We use these totals only to understand how the website is used.

Our lawful bases

  • Replying to your enquiry and preparing a quote: taking steps at your request before entering into a contract
  • Making, delivering and invoicing your order: performing our contract with you
  • Keeping order and payment records: legal obligation (UK tax and company law)
  • Publishing your testimonial: your consent, which you can withdraw at any time
  • Spam protection, security and anonymous visit counts: our legitimate interests in keeping the website safe and working well

We do not send marketing emails, and we do not sell your information or use it for automated decisions about you.

Cookies

This website uses only cookies that are strictly necessary for it to work, so we do not ask for cookie consent.

  • csrftoken: a security cookie that protects our forms from being submitted by other websites. It contains no personal information.
  • sessionid: set only when our own staff sign in to manage the website. Visitors do not receive it.

Plausible Analytics does not set cookies. Cloudflare Turnstile is used only to check that a form is being sent by a person.

Who we share it with

We only share your information with suppliers who help us run the business, and only as much as they need:

  • Website hosting: IONOS
  • Email: IONOS
  • Spam protection: Cloudflare (Turnstile)
  • Visit counts: Plausible Analytics
  • Payments: our business bank, when you pay by bank transfer
  • Delivery companies, when we send your order

We may also share information where the law requires it, for example with HMRC. Some of these suppliers, such as Cloudflare, may process information outside the UK. When they do, they rely on safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum.

How long we keep it

  • Enquiries that do not become an order: 12 months from your last message
  • Order, invoice and payment records: 6 years from the end of the financial year they relate to, as UK company and tax law requires
  • Testimonials: 5 years, or until you ask us to remove it
  • Emails you send us: 6 years
  • IP address used for spam protection: about 10 minutes in our server’s memory, unless it is logged because a form looked automated

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • ask us to restrict how we use your information, or object to us using it
  • ask for your information in a format you can give to someone else
  • withdraw your consent at any time, for example to remove your testimonial

To use any of these rights, email us at contact@ramanaturals.co.uk. There is no charge, and we will reply within one month.

Complaints

If you are unhappy with how we have used your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at https://ico.org.uk/make-a-complaint/ or on 0303 123 1113.

We may update this notice from time to time. The date at the top shows when it last changed.

Terms of sale

Terms for your personalised favours

These terms apply when you order made-to-order, personalised soap favours from Rama Naturals Ltd. Please read them before you accept your quote. Nothing in these terms affects your legal rights as a consumer.

About us

We are Rama Naturals Ltd, registered in England and Wales, company number 14882779. Our registered office is 18 Blackwell Crescent, Wakefield, England, WF1 4FZ. You can contact us at contact@ramanaturals.co.uk.

Your quote and our contract

Sending an enquiry through our website does not create an order. We will reply with a written quote that sets out your design, the number of favours, the price, delivery and the date we expect to send them.

Your quote is valid for 30 days. A contract between us starts only when you accept the quote in writing and we confirm your order in writing.

Prices, minimum order and lead time

  • Price: from £4.50 per favour. Your quote gives the exact price for your design and quantity.
  • Minimum order: 30 favours
  • Lead time: 6 to 8 weeks from approving your design
  • VAT: we are not VAT registered, so no VAT is charged

The price in your confirmed order will not change unless you change the order.

Approving your design

Before we start making your favours, we will send you the final design details to approve, including the names, colour and whether an embossed stamp is included. Please check spellings and dates carefully. We will make your favours exactly as approved, so we cannot be responsible for mistakes in details you have approved.

Each soap is handmade, so small differences in colour, shape and stamp depth between bars are natural and are not a fault. Colours on screen can look slightly different from the finished soap.

If you want to change your order, for example the number of favours, please tell us before you approve your design. We will confirm any change, and any change in price, in writing.

Payment

  • Deposit: 50% of the order total, to confirm your order
  • When the balance is due: 14 days before we send your favours
  • How you can pay: bank transfer only. We will send our bank details with your quote

Delivery

UK delivery: quoted with your order. The delivery cost and expected delivery date are set out in your quote. Your favours are your responsibility once they have been delivered to the address you gave us.

If we are going to be late, we will tell you as soon as possible. If we miss a delivery date that was essential, for example because your wedding is on that day, you may be entitled to end the contract and get a refund for anything you have not received.

Cancelling your order

Normally, when you buy online you have 14 days to change your mind. Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, this right does not apply to goods that are made to your specifications or are clearly personalised. Because every favour is made to your approved design and personalised with your details, you cannot cancel under those regulations once your order is confirmed.

If you need to cancel a confirmed order, please tell us as soon as possible. The following cancellation fees apply: we keep your 50% deposit, and you owe nothing more. If you have already paid the balance, we refund it in full.

This does not affect your rights if your favours are faulty or not as described.

If something is wrong with your favours

Under the Consumer Rights Act 2015, your favours must be of satisfactory quality, fit for purpose and as described. These rights apply to personalised goods too. If your favours are faulty, damaged or not what you approved, please contact us within 48 hours of delivery, with photos if you can.

  • Within 30 days of delivery, you can reject faulty goods and get a full refund.
  • After that, or if you prefer, you can ask us to repair or replace them. If that is not possible or does not fix the problem, you can ask for a price reduction or a refund.

Our responsibility to you

We are responsible for loss or damage you suffer that is a foreseeable result of us breaking these terms or failing to use reasonable care and skill. We are not responsible for loss or damage that is not foreseeable.

Our favours are for domestic and private use. If you buy them for a business, we are not responsible for any loss of profit, loss of business or business interruption.

Our soaps are cosmetic products. Please read our allergens, ingredients and safety information (the “Allergens, ingredients and safety” link at the bottom of every page) before use, especially if you or your guests have sensitive skin or allergies.

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, for breach of your legal rights as a consumer, or for anything else that cannot be limited or excluded by law.

Your information and the law

We use your personal information as described in our privacy notice (the “Privacy notice” link at the bottom of every page).

These terms are governed by the law of England and Wales. You can bring legal proceedings in the courts of England and Wales. If you live in Scotland or Northern Ireland, you can also bring proceedings in your local courts.

Allergens, ingredients and safety

Know what’s in your soap

Our wedding favour soaps are handmade cosmetic products, and we want you to know exactly what is in every bar before you buy it or give it to your guests. For each of our soaps you will find its scent, its full ingredient list and the fragrance allergens it contains, written the same way as on its label.

Ingredients are listed by their international (INCI) names, from the largest amount to the smallest. Fragrance allergens are named individually whenever they are above the UK labelling level for rinse-off products (0.01%), so you can check for anything you or your guests need to avoid.

Reviewed by our founder

Before the labels for any of our soaps are created, its ingredient and allergen information is reviewed and approved by Leonardo Garcia, our founder and a chemical engineer. Leonardo checks the recipe, the documents our suppliers provide for each ingredient and the allergen figures worked out from them. Labels are only made once he has signed this information off.

If an ingredient or a supplier changes, the information is reviewed again before new labels are made. Where we are still waiting for a supplier to confirm something, we say so here rather than guess.

Our soaps

Select a soap to see its summary.

Moonlit Garden

A jasmine, bergamot and neroli soap with a soft, woody patchouli base. 100 g bar.

Scent

  • Top: fresh bergamot
  • Heart: jasmine and neroli (orange blossom)
  • Base: a touch of patchouli and Iso E Super, a smooth, woody aroma ingredient

About the bar

  • A 100 g bar for washing hands and body, made on an SLS-free melt-and-pour soap base
  • SLS-free means it contains no Sodium Lauryl Sulfate. The base does contain Sodium Laureth Sulfate, a different cleansing ingredient, so this soap is not sulfate-free
  • The fragrance (essential oils and Iso E Super) makes up less than 0.3% of the bar
  • Its lilac colour comes from a cosmetic mica powder

Ingredients (INCI), largest amount first

  • Aqua, Glycerin, Sodium Stearate, Sorbitol, Sodium Laurate, Propylene Glycol, Sodium Laureth Sulfate, Sodium Chloride, Disodium Lauryl Sulfosuccinate, Parfum, Vitis Vinifera Seed Oil, Mica, Sodium Citrate, Citric Acid, Tetrasodium Iminodisuccinate, Tetrasodium Etidronate, Linalool, Limonene, CI 77891, CI 77019
  • Ingredients at 1% or less and the colours (CI numbers) are listed after the main ingredients
  • Parfum is the fragrance blend of bergamot, neroli, jasmine and patchouli oils and Iso E Super
  • Vitis Vinifera Seed Oil is grapeseed oil, a tiny amount used to carry the jasmine

Fragrance allergens named on the label

  • Linalool
  • Limonene
  • Both come from the bergamot and neroli oils

Other allergy information

  • Wheat: our soap base supplier’s ingredient declaration lists wheat, and we are confirming this with them

How to use

  • Lather with water, apply to wet skin and rinse off
  • Avoid contact with the eyes. If contact occurs, rinse thoroughly with water
  • Stop using it if irritation occurs
  • For external use only. Not edible, so keep it out of reach of young children

Storing your soap

  • Keep the bar dry between uses, on a draining soap dish away from running water
  • Store unused bars in a cool, dry place out of direct sunlight
  • Best used within 6 months of opening

Using your soap safely

  • For external use only. Do not eat. Our favours can look like sweets, so please keep them out of reach of children.
  • Avoid contact with the eyes. If soap gets into your eyes, rinse well with clean water.
  • If you have sensitive skin or a known allergy, try a small amount on your inner arm first and wait 24 hours before using it more widely.
  • Do not use on broken or irritated skin. Stop using it if irritation occurs, and seek medical advice if it continues.
  • Keep your soap dry between uses so it lasts longer.

If you have a question about an ingredient or an allergen, or need details before ordering for your guests, email us at contact@ramanaturals.co.uk and we’ll be happy to help.
